Products

Your product catalogue is the backbone of everything in Svalog — quotes, orders, stock and reports all draw on it. Set pricing, tax, units and reorder points once, and every document fills itself in from there.

Basic Info

Go to Products → New Product. Fill in the basic information fields:

  • SKU (required) — Your internal product code. Must be unique across all products.
  • Barcode — A barcode number (EAN, UPC, etc.) for reference and scanning purposes.
  • Product Name (required) — The name shown on all documents.
  • Description — A longer description. Printed on documents if filled in.
  • Product Type — Finished Good, Raw Material, or Service.
  • Category — A free-text label for grouping products. Appears as a filter on the Products list.
  • Unit of Measure (UoM) — Links to a UoM record (e.g., kg, m, pcs). Required if this product is used as a manufacturing component to enable unit conversion.

Pricing

Set cost and pricing information for the product:

  • Cost (Base Cost) — Your cost to acquire or produce this item. Used for inventory valuation and the gross margin indicator on the form.
  • Sell Price — The default price when adding this product to a quote or sales order. Can be overridden per line item on any document.
The form shows a live gross profit and margin % as you type both values.

Inventory Settings

Configure inventory management settings for this product:

  • Reorder Point — When stock on hand drops to or below this number, the product appears in low-stock alerts. Set to 0 to disable.
  • Reorder Quantity — The suggested quantity to order when restocking. For planning reference only.
  • Lead Time (days) — How many days it typically takes to receive this product from a supplier.

Status & Flags

Control how this product can be used across the system:

  • Status — Draft (not visible in document drop-downs), Active (in use), or Inactive (hidden from new documents).
  • Is Saleable — Can be added to quotes and sales orders. Only shown when the Sales module is enabled.
  • Is Purchasable — Can be added to purchase orders. When checked, a Preferred Supplier field appears.
  • Is Manufactured — Can be used as the output product on a Bill of Materials.
  • Is Component — Can be added as a component on a Bill of Materials.

You can also upload a product image (PNG, JPG, GIF, or WebP, max 2 MB). The image is shown on the product detail page.

Product Variants

A product can have variants (e.g., the same item in different sizes or colours). To add a variant, open a parent product and click Add Variant.

  • SKU (required) — A unique code for this specific variant.
  • Variant Name (required) — What distinguishes this variant (e.g., "Red / Large"). Shown alongside the product name in document drop-downs.
The product name and type are inherited from the parent. Variants appear grouped under their parent in line-item drop-downs on quotes, orders, and invoices.

Product Statuses

Products flow through these statuses:

  • Draft — Does not appear in document drop-downs.
  • Active — Fully available for use in documents.
  • Inactive — Hidden from new documents.
  • Archived — Fully hidden. Use the Archived Items page to view or restore them (manager/admin only).
On the Products list, filter by status or category using the dropdowns. Click any column header to sort. Click Export CSV to download the current view.
