Sales Orders
A sales order is your commitment to deliver — created in one click when a customer accepts a quote, or entered directly. Confirming an order reserves stock automatically, so you never promise goods you don't have, and shipping turns it into a delivery note and invoice in a single step.
Creating a Sales Order
Sales orders are created automatically when you Accept a quote, or manually via Sales Orders → New Order.
- Customer (required) — Select from active customers.
- Order Date (required) — Defaults to today.
- Expected Delivery Date — Target delivery date. For planning only.
- Payment Terms (days) — Overrides the customer's default for this specific order.
Line items work the same as quotes: Product, Description, Quantity, Unit Price, Discount, Tax Rate. Each line also shows Qty Fulfilled and Qty Reserved (read-only).
Confirming an Order
When you save a new manual order, stock is not yet reserved. Click Confirm (or send the PDF) to reserve stock for all items and transition to Confirmed status.
Shipping an Order
When the order is ready to ship, click Ship & Invoice on the order detail page. A modal opens showing all unfulfilled items. Enter the quantity to ship per item (partial shipments are allowed). Choose the invoice mode:
- Full Order — Creates a single invoice for the entire order. Subsequent shipments will not generate new invoices.
- Shipped Items — Creates one invoice per delivery note. Each partial shipment gets its own invoice.
Clicking Ship creates a Delivery Note (Draft status) and optionally an invoice. The order status updates automatically: some items shipped → Partially Fulfilled, all items shipped → Fulfilled.
Sales Order Statuses
Sales orders flow through these statuses:
- Draft — Order being prepared, stock not yet reserved.
- Confirmed — Stock is reserved; order is ready to ship.
- Partially Fulfilled — Some items have been shipped.
- Fulfilled — All items have been shipped.
- Cancelled — Order was cancelled.
