Quotes
A quote is where a sale begins in Svalog. Build one in seconds — pick a customer, add products, and the totals, tax and discounts calculate themselves. When the customer says yes, a single click turns the quote into a sales order with stock reserved automatically.
Creating a Quote
Go to Quotes → New Quote. Set the header information:
- Customer (required) — Select from active customers.
- Quote Date (required) — Defaults to today.
- Valid Until (required) — Auto-calculated from the company's default quote validity days. You can change this date manually.
Add Customer Notes (printed on the PDF) and Internal Notes (visible in Svalog only, never sent to customers).
Line Items
Each line represents one product being quoted. For each line:
- Product (required) — Select from active, saleable products. Selecting a product auto-fills the description and sell price.
- Description — Editable text printed on the document.
- Quantity (required) — Supports decimal quantities.
- Unit Price (required) — Defaults to the product's sell price but can be changed freely.
- Discount — Choose between % (percentage off) or flat amount off using the dropdown.
- Tax Rate — Tax percentage applied to this line after discount. Defaults to the company default.
- Line Total — Calculated automatically: (Qty × Price − Discount) + Tax.
The totals card at the bottom shows Subtotal, Total Discount, Tax, and Grand Total.
Keyboard shortcut: Type in the product search box and press Enter to instantly select the first (or highlighted) result. A new empty line is added automatically so you can keep adding products without using the mouse. Use ↑/↓ arrow keys to highlight a different result before pressing Enter.
Quote Actions
Actions available on the quote detail page:
- Download PDF — Generates a PDF. If the quote is Draft, it transitions to Sent.
- Send Email — Emails the PDF to the customer. Transitions Draft → Sent.
- Accept — Creates a Sales Order and reserves stock for all items. Quote becomes Accepted. Atomic operation — if stock reservation fails, the quote is not accepted.
- Change Status — Manually set to Sent, Expired, or Cancelled.
- Duplicate — Creates a new Draft quote with the same customer and items.
- Delete — Draft quotes only (manager/admin).
Quote Statuses
Quotes flow through these statuses: Draft → Sent → Accepted or Expired / Cancelled.
- Draft — Quote is being prepared.
- Sent — Quote has been sent or downloaded.
- Accepted — Customer agreed; a Sales Order has been created.
- Expired — Quote validity date has passed.
- Cancelled — Quote was manually cancelled.
